Are AI agents FERPA-compliant?
Yes. Every Ibex AI agent operates with role-based access controls, full audit logging on every action, human-in-the-loop oversight on student-affecting decisions, and data residency inside your institution's data perimeter. Student data is never used to train external models, and deployment can be configured to meet additional state, system-level, or institutional privacy requirements.
Does the AI agent train on our student data?
No. Your student data is never used to train any external model. The agent applies pre-trained models to your data inside your perimeter; learning that improves your specific deployment is contained to your institution and is not shared with other clients or upstream model providers.
How do AI agents integrate with our existing systems?
Through standard read/write APIs to the systems you already use. Most integrations are read-only; write actions are scoped, auditable, and require human approval. Which student information systems do you support?
We support Banner, Workday Student, Ellucian Colleague, and Oracle PeopleSoft as primary SISs. Smaller and specialty SISs are supported via standard APIs and database connectors. Integration is read-only by default; any write actions are scoped, auditable, and human-approved.
Which LMS platforms do you support?
Canvas, Blackboard Learn, Brightspace, and Moodle. We pull engagement, assignment, and gradebook signals via standard LMS APIs to power retention, advising, and personalization workflows.
Do AI agents replace academic advisors, faculty, or staff?

Pricing & Engagement Model

What does “zero upfront cost” mean?
We deploy the agent or service, integrate it with your systems, and prove measurable results before invoicing. Pricing is tied to outcomes specific to the engagement — recovered tuition revenue, applications generated, hours saved, errors prevented, or comparable institutional metrics. If the work doesn't deliver, you don't pay.
How is pricing structured?
Pricing structure depends on the engagement. Outcome-based pricing is our default for AI agents (tied to measurable institutional metrics). Marketing service engagements may use fixed monthly retainers, project-based fees, or performance-tied pricing. We discuss the right structure during initial conversations and document it transparently in the engagement letter.
What if we don't see results?
You don't pay. Our zero-upfront-cost model means the financial risk of deployment sits with us, not the institution. If we don't deliver against agreed-upon metrics, you owe nothing for that period or engagement.
Do you require long-term contracts?
No. Engagements can be ended at any time on reasonable notice (typically 30 days for marketing engagements; longer if an active integration is in place). We earn renewals through results, not lock-in clauses.

Implementation & Timeline

How long does it take to deploy an AI agent?
Most agents are live in 4–8 weeks: 1–2 weeks for systems integration and data access, 2–4 weeks for tuning against your historical patterns, and 1–2 weeks of supervised pilot before full operation. Marketing services (SEO, GEO, paid media) typically begin showing measurable signal within 30–90 days.
Who handles the integration with our systems?
Our deployment team leads integration. Your IT or institutional research team supports with system access, credentials, and data-mapping confirmation. Most integrations require 5–20 hours of cumulative time from your side over the deployment window.
What's required from our team?
An executive sponsor, a functional lead for the relevant area (registrar, retention, finance, marketing), and IT support for system access. We minimize friction on your side by handling integration, configuration, tuning, and ongoing operation; your team's role is direction-setting, approval, and outcome review.
What ongoing support is included?
All engagements include continuous monitoring, monthly working sessions, and quarterly strategy reviews with leadership. AI agent engagements include 24/7 operational support and configurable on-call escalation. There is no separate support contract.
Can we pause or end an engagement?
Yes. Engagements can be paused or ended on reasonable notice. Data access is revoked, the agent is decommissioned, and any institutional data is returned or destroyed per your preference and applicable retention requirements.

Data Privacy & Security

Where is our institutional data stored?
Inside your institution's data perimeter wherever possible. For agents that require model inference, data is processed by configurable model providers (typically Anthropic, OpenAI, or self-hosted models) with strict data-handling agreements, no training-on-data clauses, and full audit logging. Storage of derived analytics, alerts, and audit logs is configurable to your data residency requirements.
Do you send our data to OpenAI, Anthropic, or other model providers?
Only as required for inference, and only with data-handling terms that prohibit training on your data. We can configure deployments to use enterprise model agreements, private model hosting, or fully on-premises models depending on your institutional requirements. All such routing is documented and auditable.
How do you handle GDPR and international privacy requirements?
Engagements with international or international-student-serving institutions are configured to meet GDPR, UK GDPR, and applicable national requirements. Data residency, consent management, and right-to-erasure workflows are built into the deployment.
Do you have a SOC 2 report or security documentation?
Yes. We provide vendor security questionnaires, data-flow diagrams, and applicable third-party attestations on request as part of vendor onboarding. Procurement and IT-security review materials are available before engagement.
